How to recognize a good n8n expert
n8n is open source, almost anyone can set it up. The difference between a setup that holds and one that quietly swallows errors after three months lies elsewhere. Five points to judge an n8n expert, specialist or consultant before you hire:
1. References you can actually read
Ask for concrete projects instead of a wall of logos. Someone who knows what they do shows you which workflows they built, what the architecture looked like and what came out in the end. Two such projects are documented above as case studies, with numbers and structure rather than an anonymous tile.
2. Self-hosting skills, not just cloud click-throughs
Many n8n providers work only in the cloud version. As soon as it comes to your own instance, with Docker, SSL, a custom domain and automatic backups, things get thin. Ask directly whether your provider can run n8n on your server. That is exactly where it is decided who owns the data in the end.
3. GDPR is settled, not just claimed
A data processing agreement, hosting on an EU server, clear rules for storage and deletion: that belongs in the first conversation, not in the fine print. Anyone who dodges the question about the DPA has not asked it of themselves yet.
4. Error handling from the start
The important part of a workflow is not the happy path, but what happens when an API does not respond. Error workflows, retries and monitoring that tells you before your customer does: that is how you spot someone who runs n8n in production and does not just demo it.
5. Documentation and handover
In the end, your team should understand the instance, even without the original developer. Documented workflows, clean access management and a real handover separate the provider from the freelancer who is no longer reachable once the project ends.
